Compliance Tools

Help with your quality paperwork, all year round

Make toolbox talks, check RAMS, investigate incidents, answer audit findings and write your documents with your logo on them. Each tool starts from what you've already told SchemeReady about your firm, and gives you a draft to check before you use it.

£149 a year for one organisation, covering all its standards. With the Readiness Assessment for one standard, the two together are £299.

Toolbox talk: Working at night

Remember

  • Check every lamp and beacon before you leave the depot.
  • Take each sign position from the traffic management plan.
  • If the site doesn't match the plan, stop and tell your supervisor.

Ask the crew

Who checks the lamps before we set off, and where is it written down?

Take every measurement and layout from your traffic management plan, drawings and the Code of Practice. Drafted with SchemeReady AI. It can make mistakes: check it before you use it. Example Traffic Services Ltd (fictional) is responsible for it once adopted. It doesn't guarantee any audit or certification result.

A toolbox talk made in Compliance Tools for a made-up traffic management firm. It comes with questions for the crew and a sign-in sheet.

What's in Compliance Tools

Each tool asks a few short questions, and most are filled in already from what SchemeReady knows about your firm. What you get back is in plain English with your firm's name on it, ready to check, change and print.

Every week

  • Make a toolbox talk

A five or ten minute talk on one of your own risks, with questions to ask and a sign-in sheet. A firm with ISO 14001 sees environmental topics first, and one with ISO 45001 health and safety topics.

  • Check a RAMS

Upload one job's risk assessment and method statement (RAMS). See what's missing for that job, template text left in and out of date references, each with the fix. It's there where RAMS apply: for firms with a National Highways Sector Scheme, ISO 45001 or BS 99001. For traffic management work it reads a traffic management plan too.

When something happens

  • Investigate an incident

Say what happened and answer up to five follow-up questions. You get the report: what happened when, the causes and what to change.

  • Answer a finding

Paste a finding from your audit report. Get the fix, the change that stops it coming back, the evidence to send and a reply ready to send.

Through the year

  • Write up an internal audit

Turn a site visit or an office check into an audit report, with its findings and actions.

  • Write the management review

SchemeReady starts the minutes from your action plan and answers. Add a few lines and you have minutes with decisions, owners and dates.

Documents

  • Write or improve a document

A policy, procedure or plan in plain English with your name, roles, scope and logo. Or upload the one you have and get it improved.

  • Your company details

Your name, address, scope, roles, numbering and logo, asked once and used in every document. Look us up suggests them from your own website, and only what you confirm is used.

Ask

  • Ask SchemeReady

Ask about any of your standards in plain words. Each answer links to the questions it used. For street works and road works, any figure it gives is quoted word for word from the Code of Practice, with the page.

  • Explain this question

On any question in your assessment: what it means for your firm, what would show it, an example of a good note and where your other standards ask the same.

Your records

  • Everything the tools made

Toolbox talks, investigations, findings answered, audit reports, review minutes and documents, kept for your organisation, newest first. Each one opens again with its files, and a line at the top counts what you've made this year.

What the tools make

These examples are for Example Traffic Services Ltd, a traffic management firm we made up. Your own drafts carry your firm's name, roles and logo, whatever kind of work you do.

Documents with your logo

Pick a policy, procedure or plan, or upload the one you have. SchemeReady asks only what it can't work out from your answers, then writes it in plain English with your name, roles and scope.

Each file has your logo at the top, a document control table, a revision history and a sign-off block, in Word and PDF. An improved document keeps what's yours, takes out template text and lists what changed and why.

Before you see a draft, it's checked against what the questions in SchemeReady look for in that document, and any gap is filled.

1. Purpose

What we changed and why

  • Added who briefs the crew before each job, and where the signed sheets are kept.
  • Took out another firm's name, left from a template.
  • Updated the scheme issue to the one you work to.

Drafted with SchemeReady AI. It can make mistakes: check it before you use it. Example Traffic Services Ltd (fictional) is responsible for it once adopted. It doesn't guarantee any audit or certification result.

Covers 9 of 9 points the questions look for

An improved procedure for a made-up firm, with its logo, version 2.0 and what changed.

Answering a finding

Paste the finding as it's written in your audit report and say what kind it is. You get what it means in plain words, a few questions to find the cause, the fix and the change that stops it coming back.

Then the evidence to send, with the date, and a reply to your certification body that you can download as Word or copy into an email. Each action has an owner and a date, and you tick it off when it's done.

Answer a finding

The finding, as it's written in your report

Toolbox talks are given on night shifts, but there's no record of who attended them.

Minor nonconformity Close it by 14 November 2026

Do these three things

  1. Put it right now. Use a signed sheet at every talk, starting with the next night shift.
  2. Stop it happening again. Add the sheet to the shift start checklist, and check the sheets each month.
  3. Send the evidence by 14 November 2026. Copies of the signed sheets and the new checklist.

Before your visit

Three AI checks on the last step of each assessment help you get ready for an assessor. Check my answers and two practice audits come with every Readiness Assessment. Check my documents comes with Compliance Tools.

Check my answers

Reads every answer and note in your assessment and shows where an assessor is likely to ask for more. It opens once your assessment has a score.

Free with every Readiness Assessment

Practise the audit

An assessor's questions on your weakest areas, one at a time. Type your answer and see what was good, what an assessor would still want and the record that would settle it.

2 with every Readiness Assessment

Check my documents

Upload up to 12 documents. Each one is read against every question in your assessment that applies, with the page it relied on, what's missing and the smallest fix.

3 runs a year with Compliance Tools

Your yearly AI allowance

Compliance Tools includes a yearly AI allowance. We tell you well before it runs out.

The tools page shows how much you've used this year and roughly what that leaves, in toolbox talks or documents. If you're running low, ask for a top-up from the same page and we'll be in touch.

Check my documents has its own 3 runs a year, so it never uses the allowance.

Limitations

  • Everything the tools make is a draft. AI can make mistakes, so check each draft before you use it. Once you adopt a document, it's your firm's.
  • Toolbox talks, RAMS checks and incident reports point you to the source for any measurement. For traffic management, take every measurement and layout from your traffic management plan, drawings and the Code of Practice.
  • A draft from SchemeReady can't tell you how your audit will go, and it isn't advice. If you want a person, book an expert hour.

Your data

Before the first AI run in a session, you tick one box to agree that your data is processed by Anthropic, SchemeReady's AI provider. Your data isn't used to train AI models and isn't shared with anyone else. The privacy notice says how we handle it.

Questions about Compliance Tools

Do I need the Readiness Assessment as well?

No. You can have Compliance Tools on its own. With a Readiness Assessment too, the tools also draw on your answers, site visits and action plan, and Check my documents has your assessment's questions to check your documents against.

Can I try the tools first?

Yes. The Readiness Assessment includes a few free uses of some of the tools, such as toolbox talks and Ask SchemeReady, so you can try them.

Which standards does it cover?

Every standard your organisation holds or is working towards. Compliance Tools is licensed to your organisation, so one licence covers them all.

How long does it last?

A year from when we set it up. It doesn't renew by itself. Ask us for another year when you want one.

What if we use up the AI allowance?

The tools say so and tell you the date it renews. You can ask for a top-up from the tools page, and we'll be in touch. Check my documents keeps its own runs either way.

Is what the tools make advice?

No. The tools are automated and the same for everyone, and nobody at SchemeReady reviews what they make. Treat each draft as a starting point you check and change. If you want a person to look at your system, book an expert hour.

Can I use it on a phone?

Yes. It works in a web browser on a phone, a tablet or a computer, and your work saves to your account.

Does an assessment body get it?

Yes. The assessment body licence includes Compliance Tools for each client organisation. The assessment body page has the detail.
